Internal purchasing control for Shopify B2B

Purchase approvals before checkout

Let company buyers submit carts for approval before checkout. Approvers review the exact cart, while spend limits and approval rules determine when approval is required.

10-day free trial · Plans from $29 USD/month

Requires Shopify B2B companies, company locations, and new customer accounts. Not for retail customers.

The control gap

Buyer autonomy without an approval blind spot

Shopify B2B buyers can build their own carts. ApproveCart adds the internal review step between that buying activity and checkout.

01

Buyers keep shopping

Company buyers select the products and quantities they actually need in the storefront.

02

Approvers see the exact request

Approvers review the requested variants, quantities, subtotal, and buyer note before deciding.

03

Checkout stays protected

The approved buyer can continue only while the checkout cart still matches the approval.

How it works

Three steps from cart to approved checkout

The buyer starts the request, a company approver makes the decision, and the app validates the approved cart at checkout.

  1. 1

    Buyer builds a cart

The buyer shops with their Shopify B2B company account.

  2. 2

    Approver reviews the exact request

Products, variants, quantities, subtotal, and the reason for approval are visible.

  3. 3

    Approved buyer completes checkout

The buyer restores the cart and checkout protection validates it again.

Spend controls

Require approval when a cart crosses the right threshold

Start with a merchant default, refine it by company, and override it for an individual buyer when needed.

  • A subtotal equal to the limit can continue; a subtotal above it requires approval.
  • No spend limit removes the threshold trigger, while other approval rules can still apply.
  • One active policy is resolved for the buyer before each request.

Exact-cart protection

Approval belongs to one specific cart

ApproveCart records the currency, subtotal, variants, and quantities. If those protected values change, the buyer must submit the updated cart for approval.

  • Variant and quantity changes invalidate the approval.
  • Subtotal or currency changes invalidate the approval.
  • Expired or withdrawn requests cannot unlock checkout.

Choose the right review workflow

Shopify B2B draft review and internal approval happen at different stages

Both workflows can begin with a buyer-built cart. The difference is who reviews it and whether that review happens before or after the buyer submits checkout.

Frequently asked questions

Before you install

Quick answers about the workflow, account requirements, and the difference from draft orders.

What is ApproveCart B2B?

ApproveCart B2B is a Shopify app for internal B2B purchase approvals before checkout.

Who can approve a purchase request?

An active approver assigned to the same Shopify B2B company can approve it. One approver can manage multiple buyers in that company.

Does approval happen before checkout?

Yes. A buyer submits the cart for internal approval first and can continue to checkout only after an approver accepts the request.

Can I set different spend limits?

Yes. You can use a merchant default, a company policy, or an individual buyer override. Approval is required when the cart subtotal is greater than the effective limit.

What happens after a request is approved?

The buyer restores the approved cart and proceeds to checkout. ApproveCart checks the cart again before checkout so the approved request still matches.

Is this the same as Shopify draft orders?

No. Shopify B2B draft review lets a buyer submit checkout as a draft order for merchant review. ApproveCart sends an internal approval request to an approver at the buying company before the buyer completes checkout.

Which customer accounts are required?

ApproveCart uses Shopify's new customer accounts. Classic customer accounts are not supported for this workflow.

Does ApproveCart work for ordinary retail customers?

No. The buyer must be signed in and associated with a Shopify B2B company and company location.
